Situation

Civil engineering affects our lives every day, whether we’re jumping in the car or walking to work. What would we do if our country’s infrastructure was not well maintained? The Swedish population does not have to worry, thanks to an infrastructure operator that has more than 500 engineers travelling between 130 locations, managing the construction and maintenance of the country’s road network.

When the company became an independent entity, their new organization structure precluded someone to manage their SWEDISH KRONA (SEK) 20 million travel and meetings expenditure. But getting their engineers to each site on time and within budget was critical.

Our first step was helping the client build an integrated travel and meetings policy that cemented the core structure of their new travel programme. Next, we helped them implement an online booking tool that would simplify travel bookings and keep transaction costs to a minimum. After putting the new booking infrastructure in place, the client executed an executive sponsorship and e-mail communications strategy that shared predicted cost savings of online booking and encouraged employees to use the tool

Outcome

Within the first six months, the client achieved 75 percent online adoption, which reduced the average air ticket price by 25 percent and delivered SEK 335,000 in savings – that’s 1.6 percent of the company’s total travel volume. Today, employees benefit from a simple, straightforward booking process. And the company’s management has complete oversight of how much they are spending, and how much they are saving.
